Terms & Conditions – Venue Hire at Lake House Arts
By hiring a space at Lake House Arts, you agree to the following terms and conditions. These ensure fair use, safety, and the protection of our heritage space and community.

Bookings & Payments
Invoices are issued upon confirmation.

Full payment is due two weeks prior to the booking date.

Late bookings must be paid within 48 hours of confirmation.

A late payment fee of 25% plus GST will be added for each overdue invoice reminder.

Keys (if issued) must be returned to the lockbox after hire. A $50 + GST replacement and admin fee applies for unreturned or lost keys.

Any additional equipment, services, penalties, or after-hours callouts will be invoiced separately.

Setup, Cleaning and Damage
Hirers are responsible for setting up and packing down their booked space.

Furniture must be returned to its original layout.

The space must be left clean and tidy. All rubbish and recycling must be removed by the hirer.

A minimum cleaning fee of $100 per hour will apply if additional cleaning is required.

Any damage to the venue, furniture, fixtures, or artworks will be charged to the hirer.

Artworks must not be touched or moved without prior written approval. Additional charges may apply.

Security Responsibilities
All doors and windows must be securely locked after use.

Lights, heaters, and any other equipment must be turned off when leaving.

If the hirer is the last to leave, they must set the alarm system.

Failure to secure the venue or setting off the alarm may result in a $50 penalty, plus callout charges of $75 + GST per hour.

Cancellation Policy
Cancellations made with 14 or more days' notice will incur a 20% cancellation fee.

Cancellations with 7 days or less notice will incur a 50% cancellation fee.

No-shows or cancellations without notice will be charged the full hire fee.

All booking approvals and cancellations are at the discretion of Lake House Arts.

Promotion and Use of Name
All references must use the correct venue name and address:
Lake House Arts, 37 Fred Thomas Drive, Takapuna, Auckland.

Use of the Lake House Arts logo or brand materials must be approved in writing.

Inclusion in Lake House Arts newsletters or promotions is not guaranteed and is subject to approval.

Usage Guidelines
Lake House Arts is a smoke-free and vape-free venue, both indoors and in surrounding outdoor areas.

Café indoor and outdoor areas are for café patrons only.

Additional spaces or breakout areas must be booked separately.

Hirers are responsible for providing their own first aid kit or supplies.

Any event involving the sale or service of alcohol requires a special liquor licence. Allow at least six weeks for processing.

If Lake House Arts arranges the licence, a $50 + GST admin fee will be charged.

Insurance Requirements
All hirers must hold valid liability or contents insurance, or purchase a hire membership:

One-off hire: $35 + GST

Per term (10 weeks): $75 + GST

Special events: $150 + GST

If any insurance claim arises due to the hirer’s actions, the hirer will be responsible for covering the excess.

Sustainability
Lake House Arts follows a Zero Waste policy.

Hirers must use sustainable materials wherever possible and remove all waste generated.

We encourage the use of compostable, recyclable, or reusable items in alignment with our environmental values.

Health and Safety
Hirers are required to follow all current health and safety regulations and evacuation procedures.

Any hazards or incidents during the hire must be reported immediately.

The hirer is fully responsible for the safety of their guests, participants, or attendees.

Educators must also comply with additional responsibilities outlined in our Educator Appendix.

Communication
All general communication is best directed via email. Urgent matters may be texted or called through to 027 486 4877.

For long-term or repeat hirers, any changes to terms and conditions will be provided in writing.

Use of the venue constitutes agreement to the most current terms and conditions provided.
